EQUIPMENT POLICY OF THE RENSSELAER OUTING CLUB _________ ______ __ ___ __________ ______ ____ I. The Equipment Chair shall be that general custodian of the equipment of the Rensselaer Outing Club. A. Repair and maintenance of equipment shall be made by the activities chair responsible for said equipment. B. Any equipment which is deemed unsafe can be retired (classified as dead) by the activity chair or the Equipment Chair. C. The disposal or subsequent use of retired "dead" equipment shall be the responsibility of the Equipment Chair. D. Any piece of equipment can be withheld from being lent by the Equipment Chair if it is thought to be unsafe or in need of repair. II. Equipment responsibility is defined in the inventory database by the "Activity" field. III. The responsible activities chair will assist the Equipment Chair in the inventory and labeling of equipment. IV. Access to the ROC pit. A. The Executive Committee (E-Comm) shall decide who, in addition to the Equipment Chair and the President, shall have access to the Pit. B. The Equipment Chair shall have the ability to remove all but the President's name from the access roster for a period until next E-Comm meeting. V. The Equipment Chair may, upon request, appoint an assistant who, after approval by the E-Comm, will have access to the Pit and shall assist the Equipment Chair in any way, shape, or form. VI. Lending of equipment A. Borrowing privileges 1. Club equipment may only be borrowed for use on club trips or with the approval of the Equipment Chair. 2. Any person borrowing gear must be a dues paying member. 3. Any dues paying member may borrow gear for themselves and one other person. 4. Any leader may borrow appropriate gear for any official trip. 5. Any leader can borrow appropriate gear for an unofficial trip with the approval of the Equipment Chair. B. Borrowing priority 1. Announced ROC trips have first priority. 2. Unannounced ROC trips have second priority. 3. Individual members have third priority. 4. Within each priority, newer members are given preference over older members. C. Borrowing regulations 1. A deposit may be requested of members deemed unreliable for full replacement value of equipment. 2. Equipment must be returned by the first pit hours after the trip unless permission is given by the Equipment Chair to return the gear at a later date. 3. Subject to E-comm review, the Equipment Chair may suspend equipment privileges for any one of the following reasons: a. Misuse of equipment b. Failure to return equipment in an approved length of time c. Failure to compensate for lost or damaged equipment d. Failure to return equipment in reasonable condition 4. Subject to E-comm review, the Equipment Chair may charge a students account for full replacement cost of equipment overdue for return by one month VII. Upon loss or damage of equipment, the responsible member will be given the following options: A. The member may pay 100% of the replacement value of the item as assessed by the activities and equipment chairs, or is responsible for restoring item to former value by repairing or paying for repairs on said item. B. The member may request a review by the E-comm to assess liability, if any, for lost or damaged items. C. The E-comm will equate the responsibility of the loss or damage by the member with a charge of 0-100% of replacement value established by the activity and equipment chairs. D. Leaders shall not be held responsible for trip equipment damaged on trips, except in cases of carelessness and negligence. E. Leaders found guilty of carelessness and/or negligence will be reviewed by the E-comm and be subject to replacement or repair costs, and to the loss of leadership privileges Modified by Scott Stepenuck (stepes@rpi.edu) 1/23/1996
